What is Practice Hub UK?
Practice Hub UK is a suite of software built for UK accounting practices. It covers practice management, bookkeeping done on behalf of clients, MTD-enabled client accounting, AML compliance and a client portal — all in one place.
Who is it for?
UK accounting practices of every size, from sole practitioners through to multi-office firms, and the clients those practices serve.

Do I have to take all of them?
No. Most practices start with Practice Manager and switch on the others as they need them. Document Manager is an add-on to Practice Manager rather than a standalone product.
Do I need to install anything?
No. Practice Hub UK runs in any modern browser on any device. There is nothing to download, install or keep updated.
How long does it take to get going?
Most practices are working in Practice Manager within a few days of importing their client list. The other tools can be enabled whenever you are ready for them.
Can you help me move my existing data across?
Yes. Bringing your client list and existing records over is part of onboarding, and we will work through it with you.
Can I see it before committing?
Yes. Every plan starts with a one-month free trial, no card required. We will also walk you through the tools that fit how your practice works.
Is it built for UK practice rules?
Yes. It is built around UK deadlines, UK compliance obligations and Making Tax Digital, rather than adapted from another market.
Where do I start?
Practice Manager is the natural starting point — it holds your clients, deadlines, staff and jobs, and the other tools hang off it.

What does Practice Manager do?
It is the command centre for the firm: it tracks all of your client deadlines, manages your staff, handles billing for jobs, and captures staff time on timesheets against those jobs.
Does it track every client deadline?
Yes. Deadlines across your whole client base sit in one view, so nothing depends on an individual remembering it.
Which deadlines does it cover?
The recurring obligations a UK practice runs on — annual accounts, VAT, payroll and self assessment among them — tracked per client.
Can I manage my staff in it?
Yes. Staff management is built in, so you can see who is working on what and how loaded each person is.
Can I allocate jobs to specific staff?
Yes. Jobs are assigned to people, which is what makes workload and capacity visible rather than guesswork.
Does it do timesheets?
Yes. Staff record their time against the specific job they worked on, so the hours attach to the work rather than to a general pool.
Can I bill for jobs?
Yes. Practice Manager handles billing for jobs, and the time recorded against each job feeds into what you invoice.
Will I see what a job actually cost?
Yes. Because time is captured against the job, you can compare what a job took against what it was billed before you raise the invoice.
Is there a limit on clients or staff?
Practice Manager is designed to hold your whole client base and your whole team. Pricing is per user rather than per client.
Does the rest of the platform depend on it?
Document Manager is an add-on to Practice Manager. The other tools complement it but each does its own job.
AI Bookkeeping 10
What is AI Bookkeeping?
AI Bookkeeping is the bookkeeping tool your own team works in, doing the bookkeeping on behalf of your clients.
Is AI Bookkeeping available yet?
AI Bookkeeping is currently under development. If it matters to your plans, tell us and we will keep you posted on availability.
How does importing bank statements work?
You import a client bank statement with a click rather than keying the transactions in line by line.
Can I import invoices too?
Yes. Purchase and sales invoices can be imported in bulk straight into the ledgers instead of being entered one at a time.
Who uses AI Bookkeeping — my staff or the client?
Your staff. AI Bookkeeping is the tool your team uses to do bookkeeping for clients. If you want the client doing their own work, that is VAT (MTD).
How is it different from VAT (MTD)?
AI Bookkeeping is bookkeeping your practice does for the client. VAT (MTD) is accounting software the client uses themselves, with you having access over the top.
Can I work across several clients at once?
Yes. It is built around a practice working through a portfolio of clients rather than a single set of books.
Does it reduce data entry?
That is the point of it. Bulk import of statements and invoices is what takes the keying out of the job so your staff review rather than type.
Will it fit our existing bookkeeping process?
Bulk import changes the shape of the work — less entry, more review. We will walk through how that maps onto your current process.
Can I register interest in AI Bookkeeping?
Yes. Contact us and we will add you to the list for updates as development progresses.
VAT & MTD 10
What is VAT (MTD)?
VAT (MTD) is the accounting software you give to your clients. They do their day-to-day accounting work in it, and you keep accountant access to prepare the annual accounts.
Is VAT (MTD) MTD enabled?
Yes. It is built for Making Tax Digital, so client records are kept digitally in the form MTD requires.
Who does the work in VAT (MTD)?
The client does their own accounting work. Your practice has access over the top to review it and to produce the annual accounts.
What access do I get as the accountant?
Full accountant access to the client file, so you can work in the same records the client has been keeping rather than asking for them.
Does it help with year-end?
Yes. Because the client has been keeping their records in the system all year, the year-end work starts from records you already have access to.
Can I use it for annual accounts?
Yes. Preparing the annual accounts from the client records is exactly what the accountant access is for.
What is MTD, in short?
Making Tax Digital is the UK requirement to keep digital records and submit digitally. VAT (MTD) is built so client record keeping meets that standard.
What if a client will not do their own bookkeeping?
Then the work belongs in AI Bookkeeping, where your team does the bookkeeping for them. The two tools cover the two different arrangements.
Can some clients use VAT (MTD) and others not?
Yes. Practices typically use VAT (MTD) for clients who want to do their own work and AI Bookkeeping for those who do not.
Do clients need training to use it?
It is designed for the client to work in day to day. We will help you get clients onto it as part of onboarding.

What does the AML Centre do?
It covers the anti-money-laundering work you carry out on your clients — identity verification, risk assessment, and the records that evidence both.
Does it hold client identity checks?
Yes. Client identity and verification checks are held against the client file rather than in a separate folder or drawer.
Can I record a risk assessment per client?
Yes. Risk assessment is recorded per client, and can be reviewed and updated over time.
Is there an audit trail?
Yes. The tool keeps a complete, dated audit trail so you can show what was checked and when.
Does it help with inspection?
That is the intent. Because the checks, the assessment and the trail all sit against the client, an inspection becomes a matter of opening a page.
Does it handle ongoing monitoring?
Client AML is not a one-off. Reviews can be scheduled so a client file does not quietly go stale.
Is AML linked to the client record?
Yes. It sits against the same client you manage everywhere else, so there is no second client list to keep in step.
Who in my team can see AML records?
Access follows role, so AML material is visible to the people who need it rather than everyone.
Does it replace my AML policy?
No. It is where you carry out and evidence the work. Your practice remains responsible for its own policies and judgements.
Can I export AML records?
Your records remain yours, and can be produced when you need to show them.

What is the Document Manager?
Document Manager is an add-on to Practice Manager that gives each of your clients access to their own office — the documents, requests and information belonging to them.
Is it a separate product?
No. It is an add-on that sits on top of Practice Manager, using the client records you already keep there.
What can clients do in it?
Clients access their own office: getting to their documents, and dealing with the requests and information that relate to them.
Does it stop the email back-and-forth?
That is the aim. Requests and documents live against the client record instead of scattered through your inbox.
Is client access secure?
Yes. Each client gets secure access limited to their own office and nothing else.
Do I have to maintain a second client list?
No. It runs off the clients already in Practice Manager, so there is nothing separate to keep in step.
Can I choose which clients get a portal?
Yes. You decide which clients you give access to.
Is there a record of what was shared?
Yes. Documents and requests stay on the client record, so there is a history rather than a search through mail.
Do clients need to install anything?
No. Clients access their office through a browser.
Do I need Practice Manager to use it?
Yes. Document Manager is an add-on to Practice Manager rather than something that runs on its own.
Pricing & Plans 10
How is Practice Hub UK priced?
Per user, per month. Plans bundle different sets of tools, so you pay for seats rather than per client.
What plans are there?
Starter, Practice and Enterprise. Starter suits sole practitioners, Practice covers firms running the full workflow, and Enterprise is quoted for multi-office practices and networks.
Is pricing per user or per client?
Per user. Adding clients does not increase the price — adding staff seats does.
What does Enterprise cost?
Enterprise is tailored to the firm, so it is quoted rather than listed. Tell us about your practice and we will price it.
Do prices include VAT?
Listed prices exclude VAT.
Can I add users later?
Yes. Add seats as your team grows.
Can I change plan?
Yes. Practices commonly start on Starter and move up as they take on more of the platform.
Is there a free trial?
Yes — one month free on every plan, with no card required. At the end of the month you choose whether to continue; nothing is charged unless you do.
Is Document Manager charged separately?
Document Manager is an add-on to Practice Manager. Which plans include it is set out on the pricing page.
What about AI Bookkeeping, which is not released?
AI Bookkeeping is under development. The pricing page states how it is treated on release for each plan.
Security & Support 10
Where is my data hosted?
In the UK, and built around UK data protection requirements.
Is client data encrypted?
Yes. Data is encrypted, and access is controlled by role so people see what their job requires.
Is there an audit trail across the platform?
Key actions are recorded against the client file, giving you a history of who did what and when.
Who in my practice can see what?
Access follows role. You decide what each member of staff can reach.
Is my data backed up?
Yes. Backups are part of the hosting rather than something you have to arrange.
What happens to my data if I leave?
Your records remain yours and can be exported.
How do I reset my password?
Use the “Forgot password” option to receive a one-time verification code by email, then set a new password.
How do I get support?
Through the contact page. Plans differ in support level, with priority support on the Practice plan and above.
Do you help with onboarding?
Yes. Getting your client list in and your team set up is part of onboarding.
