Practice management software gets sold on feature lists. What actually decides whether it works is narrower than that: can you see every client deadline, can you see what your staff are doing, and can you get the work billed for what it cost. This guide covers what to look for in 2026.
Start with the deadline problem
Most practices do not lose money because they lack features. They lose it because deadline tracking is spread across a spreadsheet, a wall planner and somebody's memory.
The test for any system is simple: open it and ask for every client obligation due in the next thirty days. If that takes more than a few seconds, the system is not doing the job.
- Accounts, VAT, payroll and self assessment all run on different clocks
- Each one needs to be tracked per client, not per service
- The view has to be current without anybody maintaining it
Then look at staff
Deadline visibility is only half of it. The other half is knowing who is doing the work.
Look for staff management that shows workload rather than just a list of names. If you cannot tell who is overloaded before the week goes wrong, you will keep finding out afterwards.

Insist on time against jobs
Timesheets that record hours to a general pool tell you very little. Time recorded against a specific job tells you what the job cost.
That is the number that changes how a practice prices. Without it, fixed fees are guesses that get repeated for years.
Check that billing connects to the time
Job billing and timesheets belong to the same system. When the hours recorded against a job flow into what you invoice, you can see the gap between cost and fee before you raise it, not at the year end when it is too late to do anything.
Questions worth asking a supplier
- Show me every deadline across the whole client base, in one view.
- Show me what one member of staff has on this week.
- Show me what this job cost against what it was billed.
- What happens to my data if I leave?
- Where is it hosted?
If a supplier can answer the first three from a live screen rather than a slide, the rest of the conversation is worth having.
